Could you be our alumni relations co-ordinator?

REPORTS TO: GENERAL MANAGER

Background

Hastings International Piano is the charity that organises an international concerto competition for the top young pianists under 30. Aside from the competition, we run a diverse programme of concerts, education workshops and community events.

Hastings International Piano operated as part of the Hastings Music Festival until we became an independent charity in 2020. Our competition runs every two years, and we have around 40 competitors for each cycle. Whether they make it through to the finals or only to the second stage, our competitors all go on to do exciting things with their music career. While we have information of previous competitors, we need to generate a fully-fledged alumni network so we can easily reach out regarding concert or outreach opportunities, hear what they are up to, and invite them to events.

The Role

We are recruiting for an Alumni Relations Coordinator who will work on a voluntary basis helping to organise the alumni network and maintain communications with previous competitors for Hastings International Piano.

Key responsibilities will include:

  • Create a new alumni network presence based on information in the existing Hastings International Piano database.
  • Working in collaboration with the Communications Director, to devise and implement ways to engage alumni in digital communications, including mailing lists and social media channels
  • Updating the team of any alumni news.
  • Reaching out to competitors about upcoming concert opportunities or community engagement projects.
  • Manage day-to-day contact and services, whilst fostering strong relationships with key HIP alumni groups and other volunteers
  • Maintaining a thorough and organised database containing competitor information.

Essential Attributes

  • Technologically capable – proficient in Microsoft Office Suite especially excel and SharePoint.
  • Confident communicator: many of our competitors have English as a second language so the ideal candidate will be flexible and clear in their communications.
  • Knowledge of social media platforms and how to reach out to users.
  • Culturally sensitive.
  • Organised and experienced in maintaining large amounts of information.
  • Strong attention to detail.
  • Efficient, can respond to messages quickly.

Desirable

  • Piano / Classical music knowledge.
  • Experience with Mailchimp.
